CANCELATION POLICY

We respect our time and yours.  To avoid delays in schedules we have high standards for ourselves to remain on time and adhere to our schedule.  We expect our clients to do the same.  It is expected that all parties attend all scheduled sessions on time. Cancelations and delays can negatively impact each party differently.  Please keep in mind that client no-shows prevent others from seeking support they may need.  We ask for your understanding and commitment to prevent this from happening.  Our cancelation policy is out of respect for our staff providing the services, you as the client, other clients scheduled and any potential clients seeking services.

CANCELATIONS AND MISSED APPOINTMENTS

Since Coping Connection, LLC appointments involve a time specifically for you, a minimum of 48 hours’ notice is required for rescheduling or canceling an appointment. For example, if you are scheduled for a 4:30pm appointment on Thursday, you must give notice before 4:30pm on Tuesday.  In the event, the appointment has not been canceled or rescheduled within the 48 hours, there will be no refund on the session already paid for and clients are responsible for payment of the full amount.

If you need to reschedule or cancel your appointment prior to 48 hours, you can email: info@copingconnection.com and we will coordinate a new time that fits both schedules.  Please refer to the calendar for available times.

If you are unable to reschedule within the 48 hour window, please e-mail us at info@copingconnection.com.

If our staff has to cancel your appointment within the 48 hour window, clients will receive reimbursement and/or credit for the session.  We are sorry for any inconvenience this may cause you.

LATE APPOINTMENTS

As mentioned above, our sessions need to start promptly.  If you are unable to attend at the scheduled time, please understand that your session will need to be considered as a canceled appointment and will follow the same cancelation policy.  There will be no refund and clients are responsible for the full amount.  We are very sorry if our staff is late to your scheduled session. Clients will have the option of extending the time missed to the session (if there is not an immediate scheduled session) or receive compensation in the form of reimbursement or credit for the session.

EXCEPTIONS

We understand that sometimes events occur and impact schedules.  Please understand that the only time we will waive the cancelation policy is in the event of extreme circumstances that are unavoidable and unexpected.  If you are unsure, please e-mail us at info@copingconnection.com.

TECHNOLOGICAL DIFFICULTIES

Some sessions that Coping Connection, LLC offers are facilitated virtually and clients are responsible for ensuring their computers work appropriately. Any technological difficulties or troubleshooting that occurs during the session due to the client’s technology will be counted in their session minutes.

If any technological difficulties arise from our staff side, we sincerely apologize.  Clients will have the option of adding the time at the end of the session (if there is no immediate scheduled session) or receive compensation in the form of reimbursement or credit for the session.

Please know that we do not hold any judgement or become upset when a client misses an appointment or has technological difficulties. We know challenges arise and troubleshooting is not always easy.  We truly appreciate your understanding and compliance as we work to adhere to a set schedule.
